What QuoteFlow needs to extract and structure from an incoming RFQ. This is the target schema for extraction.

Core fields

  • Event / project name
  • Dates & timing — event date(s), load-in/load-out, deadlines for the quote
  • Location / venue — site, capacity, access constraints
  • Headcount / scale — attendees, crew expectations
  • Budget — stated budget or range (often implicit)

Deliverables & requirements

  • Line items — staging, lighting, sound/AV, power, rigging, furniture, catering, staffing, logistics (see event-glossary)
  • Technical specs — dimensions, capacities, formats
  • Constraints — union rules, venue restrictions, sustainability, accessibility

Commercial & process

  • Submission requirements — format, deadline, contact
  • Evaluation criteria — how the quote will be judged
  • Terms — payment, cancellation, liability

Signals to analyze

  • Completeness — which core fields are missing?
  • Ambiguity — vague or contradictory requirements
  • Risk — tight timelines, unusual constraints, scope creep
